The challenge

The organisation's processes for managing ongoing credentialing compliance were largely manual, fragmented, and decentralised. Line managers had limited visibility into their workforce status, and the burden of chasing clinicians for credentialing information fell heavily on individuals, requiring phone calls, emails, and manual follow-ups that consumed significant time and posed real compliance risks.

After evaluating the market, the company found that none of the available custom off-the-shelf (COTS) solutions met their needs. After speaking with other organisations that had faced similar challenges, it was clear that building a fit-for-purpose credentialing solution was the right path - one that could be tailored to meet all their business unit requirements, automate as much as possible, reduce manual handling, and genuinely mitigate risk.

The solution

The organisation partnered with PhoenixDX to build a customised credentialing capability, drawing on PhoenixDX's proven experience delivering a similar solution for Serco, a leading security services provider. The solution automates email reminders, sources credential information directly from clinicians, and seamlessly integrates with third-party regulatory bodies to verify credentials at the source. A clean, intuitive dashboard gives line managers an immediate view of their workforce's compliance status and a clear call to action the moment they log in.

The solution was designed to handle the organisation's most complex business requirements first - starting with the business unit that presented the highest level of complexity and was approaching a critical contract renewal deadline.

The rollout began in June with the initial business unit and 2,500 clinician records, with two additional units going live in July. The remaining business units will come online progressively throughout the year, scaling to approximately 6,000 clinicians by year's end.
